To keep our costume loft inventory fair to access, easy to track, and well cared for, Quincy Music Theatre is standardizing the loan process for everyone. We’re glad to share our inventory when possible. All costume and prop loans must be approved in advance and are based on availability. Items will only be loaned when doing so does not conflict with the needs of upcoming QMT productions.
Who this applies to
All costume and prop loans must be recorded in the Loan Log, effective immediately. This includes staff, volunteers, board members, and community members. No exceptions.
Before you take anything from the loft
Items may not be removed from the costume loft unless all of the following steps are completed:
1. Email QMT staff to schedule a time to visit the theatre. In your email, please provide a general overview of what you’re looking for and roughly how many items/costumes you may need.
2. Complete the Loan Log in full listing all items to be borrowed (paper or digital).
3. Obtain a QMT staff signature on the log.
4. Provide a written description of ALL item(s) borrowed, including details such as color, size, era, and all pieces included.
5. Take photos of ALL item(s) and upload them to the shared QMT drive.

You may download a copy or grab one of the printed copies available on a clipboard at the bottom of the stairs at the costume loft entrance.
Returns, fees, and accountability
By signing the Loan Log, the responsible party agrees to return all borrowed items in the same condition as received, normal wear excepted.
The following may result in fees:
Damaged items: Repair or replacement fees may be assessed, ranging from $25 up to the full replacement cost.
Late returns: Items not returned within 10 days of the listed return date may be subject to a $1 per day late fee until returned.
Unauthorized removals: Any costumes or props removed without being properly logged will be considered unauthorized removals.
